Privacy policy
Last updated 31 October 2026
- We collect only what we need to run our services and take payment.
- We never sell your data, and this website has no advertising or tracking cookies.
- Card payments are handled by Stripe. We never see your full card number.
- You can ask to see, correct or delete your data at any time.
1. Who we are
Quarity Ltd ("Quarity", "we", "us"), of 76 Doagh Road, Newtownabbey, BT37 9NY, runs this website, Crowvio and our event services. For the personal data described here, we are the data controller, except where section 4 says otherwise. To contact us about privacy, use our contact form and choose "My personal data".
2. What we collect
If you're a customer or contact us
- Contact details: your name, email address, organisation and, if you give it, phone number.
- Account details: your Crowvio sign-in email, a securely scrambled (hashed) password, and your team members' names and emails.
- Billing details: your plan, payment history and billing address. Stripe stores your card; we only see the card type, last four digits and expiry date.
- Messages: what you send us through our contact form (your name, email address, and any organisation, phone number, event details and message you add), and any emails we exchange.
If you visit this website
Like any website, our server records basic technical details of each visit (IP address, browser type, page visited and time) to keep the site secure and working. These logs are kept for a short time, normally no more than 14 days. This website sets no cookies and uses no analytics or advertising tools.
Messages sent through our contact form are stored on our own server and forwarded to our business inbox so we can reply.
Cookies in Crowvio
When you sign in to Crowvio, it sets one cookie to keep you signed in. It's strictly necessary for the service to work, so it doesn't need consent. Players' phones may store a small amount of game information so they can rejoin if their connection drops.
3. How we use it, and why we're allowed to
- To provide our services, run your account and take payment: because we have a contract with you.
- To send service emails, such as receipts, trial reminders and important changes: because we have a contract with you.
- To keep our services secure, prevent fraud and improve them: because we have a legitimate interest in doing so.
- To keep financial records for tax and accounting: because the law requires it.
- To send news about our services: only if you've agreed, or you're an existing customer and haven't opted out. Every email has a way to unsubscribe.
4. Players at Crowvio events
When people play Crowvio at an event, they may give a display name, answers, votes, drawings, messages and photos. The event organiser (our customer) decides what to collect and why, so they are the controller of that data, and we process it on their behalf under a data processing agreement. If you played at an event and have a question about your data, please contact the organiser. We'll help them with your request, and you can also contact us.
Organisers can delete event content, such as selfies and messages, at any time. We delete it when the organiser's account is closed.
5. Who we share it with
We never sell personal data. We share it only with companies that help us run our services, and only what they need:
- Stripe: card payments and subscriptions.
- Hetzner Online: hosting our servers, in Germany.
- MXroute: business email, including forwarding contact form messages to us.
We may also share data if the law requires it, or with professional advisers such as accountants.
6. Data outside the UK
Our servers are in Germany, which the UK recognises as protecting personal data properly. Stripe and our email provider, MXroute, may process data in the United States or elsewhere outside the UK; where that happens, it's protected by safeguards approved under UK law, such as the UK International Data Transfer Addendum or the UK extension to the EU-US Data Privacy Framework.
7. How long we keep it
- Account data: while your account is open, then deleted within 90 days of it closing.
- Billing and tax records: 6 years, as UK law requires.
- Contact form messages and emails with us: up to 2 years after our last contact, unless they're part of a customer record.
- Website server logs: normally no more than 14 days.
8. Keeping it safe
Our websites use encrypted connections (HTTPS). Passwords are stored hashed, access to our systems is limited to people who need it, and we keep our software up to date.
9. Your rights
You have the right to ask for a copy of your data, to have it corrected or deleted, to object to or restrict how we use it, and to take it elsewhere. Send us a message through our contact form and we'll respond within one month. It's free.
If you're unhappy with how we've handled your data, please tell us first. You also have the right to complain to the Information Commissioner's Office (ICO), the UK regulator, including for Northern Ireland, at ico.org.uk or on 0303 123 1113. If you live in the Republic of Ireland, you can also complain to the Data Protection Commission at dataprotection.ie.
10. Changes
We'll update this policy when how we use data changes. The date at the top shows the latest version, and we'll email customers about important changes.
